POSITION:              Development Coordinator
TYPE:                       30 hours per week
SALARY:                 Starting rate between $15 to $20 per hour, future potential up to $25 per hour
START DATE:         Expected around September 17, 2018

OVERVIEW

Clean Ocean Access (COA) was established in 2006 and is a growing citizen science environmental organization that became a non-profit organization in 2014. We are in Middletown, Rhode Island with a footprint almost exclusively on Aquidneck Island, and do perform off-island efforts to achieve our mission. Our mission is “action today so future generations can enjoy ocean activities” with a primary focus on eliminating marine debris, improving coastal water quality, and protecting and preserving shoreline access. COA is an environment where creativity, flexibility, and collaboration are essential and exist within a focus on planning, attention to detail, information technology, and operational excellence.

JOB SUMMARY

COA is looking for a professional, results-driven individual with meticulous attention to detail, who cares deeply about the local environment and wants to be part of an action-packed organization. The Development Coordinator will be responsible to provide critical support for all elements of fundraising initiatives, project/event specific initiatives, fundraising plans, the identification, cultivation, solicitation and stewardship of donors (residents and businesses) who want to protect, preserve and enhance the Aquidneck Island environment, and forge new relationships to build COA’s visibility, impact, and financial resources.

The Development Coordinator is responsible for maintaining a high level of accuracy of all assets in the fundraising database including people, donations, grants, campaigns, sponsors, and understand the importance of regularly creating reports to deliver high-impact high-value analytics for the organization and has a demonstrated and/or committed interest in building a career in non-profit development and advancement.

The Development Coordinator (DC) must thrive in a professional and dynamic environment, work well both in a team environment and independently, demonstrate dependability, a love of development, data management, business sponsorship, and events. This position reports directly to the Executive Director, may oversee interns and volunteers, and works together to advance the financial health of the organization and working to improve systems and processes along the way.

RESPONSIBILITIES

Contact management – Takes ownership and pride of the impeccable data quality for all master data assets. Responsible for the accurate and timely management of all master data assets (leads, contacts, campaigns) in Salesforce to maintain the referential integrity of the system of record and the foundation of the donor and volunteer management systems and processes. Lead efforts for resolving existing master data issues and adapt and advance the processes and procedures for lead & contact management by creating reports with unique filters, workflows, and custom actions to meet the evolving requirements for donor and volunteer management.  Actively participate in forums and group discussions to improve the Salesforce installation. Work with the teams to adjust contact management activities to achieve programming and fundraising outcomes.

Donor management – Responsible for daily gift processing and accounts receivables entered into Salesforce, with accurate assignment of campaigns. Create a monthly payment report and bank deposit slip for all receivables. Create personalized and timely acknowledgement letters in accordance to development strategy and tax-receipt requirements, to maximize ongoing donor retention process. Create reports that provide insight for giving patterns.  Work with team to adjust donor management activities to achieve outcomes, based on data analytics.

Events and Appeals – Responsible for assisting with designing, planning, and executing fundraising and non-fundraising events and appeals, and cultivating future events and appeals. Provide guidance for marketing materials and event staffing requirements, working closely with the communications and volunteer management teams. Meet regularly with staff to gather and share information to efficiently expedite projects and outcomes. Managing sponsor, partner and vendor relationships, and day-of activities for all events. Some of these tasks could include preparing event budget, including anticipated event revenue and related expenses, working on invitation design, printing, mailing, managing RSVP list, coordinating logistics, raffle permits, rentals, etc. Event follow-up correspondence, processing event and marketing invoices.

Other – Assist with researching and writing grants and business sponsor proposals. Responsible for some office management activities, including management of interns and office volunteers. Assist with all financial processing including accounts receivable, accounts payable, record keeping, book keeping. Abide by existing and new Clean Ocean Access policies, procedures, assist the Executive Director with other tasks and activities as required.

QUALIFICATIONS

•                  Passion for Clean Ocean Access mission

•                  Bachelor’s Degree or equivalent work experience

•                  1 year of administrative/development/office experience with reference

•                  1 year of fundraising database software experience, Salesforce a huge plus

•                  1 year of professional application of Microsoft Office (Word, Excel) and Google Services

•                  Driver’s License and State of Rhode Island Criminal Background Check (BCI)

SCHEDULE

Enjoying life outside of work, especially activities connected with the ocean is important to us. 30 hours per week minimum with a flexible schedule based on workload and work-life balance. A typical week would consist 4 days in the office from morning into the afternoon. Project and event specific activities require extreme commitment and flexibility of schedule including weeknights and weekends. The organization focuses on outcomes, rather than a set schedule and the DC is responsible to project, anticipate, propose, plan, and execute a schedule that achieves all outcomes on-time, on-budget and on-quality.

COMPENSATION

·        Starting rate $15 to $20 per hour, increases up to $25 per hour based on performance

·        Annual bonuses dependent on individual and organization performance

·        $500 annual investment for employee-led professional development

·        Potential for full-time based on organization requirements and performance
